Spring 2023 Events Intern

Events Internship
Internship Details:
Start Date - January 2023
End Date - May 2023 (with possibility to extend)
Pay rate - $15/hour
Schedule - Business hours up to 20 hours/week; flexible based on school schedule.
Location - Reston, VA OR Wakefield, MA (Teleworking flexibility options available, may vary depending on state, county, office venue policies and guidelines as well as Virtual's health and safety requirements)

Our Internship Program is unique in that we encourage all of our interns to have a voice in the company and to learn and grow during your time with us through shadowing opportunities and taking part in cross-functional projects. You'll also get a chance to sit down with senior executives, learn about their background and dig a little deeper into how they got where they are today while they share advice on things that helped them along the way.
You will also be joining and socializing with a great group of interns just like you!

YOU'LL GET TO...
  • Assist with planning and managing logistics of meetings, conferences, and events. Tasks includes assisting with registration set up, venue selection support, food and beverage planning, A/V planning, and coordination of marketing materials and communications.
  • Work with event lead and vendors to plan catering, audio/visual, giveaways, entertainment, photography, travel, hotel accommodations, etc. to ensure high quality events that are cost efficient
  • Gather details to create and distribute RFPs for meeting sites and/or vendors
  • Compare proposals received from various vendors (AV, DMC, etc.)
  • Assist in the creation of planning documents such as the Complete Meeting Plan, Minute by Minute, and other internal planning tools
  • Assist in the creation of meeting materials such as welcome letters, agendas, etc.
  • Assist in speaker and sponsor tracking, support and communications
  • Assist in coordination of BEOs and AV orders
  • Manage event shipments and inventory for conferences
  • Assist with virtual conferences and platforms
  • Assist in assembling badges, conference bags, registration envelopes, etc.
  • Create and administer attendee evaluations/surveys
  • Manage speaker logistics such as transportation and hotel reservations

WE'RE LOOKING FOR SOMEONE WHO...
  • Must be detail-oriented, with effective organizational and project management skills, including the ability to manage multiple projects/tasks and deadlines simultaneously in a fast-paced, deadline-driven environment.
  • Must be a self-starter, with the ability to work well under pressure, and have solid problem-solving, judgment and decision-making skills.
  • Excellent customer-service and interpersonal skills.
  • Strong writing and editing skills.
  • High level of creativity and "rolled up sleeves" working style.
  • Flexibility to work independently and as a team player.
  • Proficiency with Word, Excel, PowerPoint and knowledgeable about Adobe.
  • Junior or Senior in college majoring in Hospitality/Events Management
